Bibbulmun Track Foundation Wall Calendar Photo Submission: Terms and Conditions 

The submission period for the Bibbulmun Track Foundation Wall Calendar is open from 1 September to 30 October. 

Before submitting your photos, please review the following terms and conditions. 

Terms and Conditions

By submitting photographs, I agree to the following: 

1. Ownership and Permissions

I confirm that I am the creator and copyright owner of all photographs submitted and that I have the full right to submit these images for use by the Bibbulmun Track Foundation. 

2. Licence to Use Submitted Images

I grant the Bibbulmun Track Foundation a non-exclusive, royalty-free licence to use the submitted images for promotional, educational and communication purposes. This may include use in: 

• The Bibbulmun Track Foundation Wall Calendar 

• The Foundation’s website 

• Social media channels 

• Newsletters and e-newsletters 

• Annual reports 

• Brochures and promotional material 

• Presentations, displays and exhibitions 

• Media and public relations activities 

Nothing in this agreement transfers copyright in the images between Parties. That is, the creator retains copyright over images submitted. 

3. Calendar Publication

If my photograph is selected for inclusion in the Bibbulmun Track Foundation Wall Calendar, I understand that I will not receive financial compensation for its use. Selected photographers will receive a complimentary copy of the calendar as a thank you, or another item of similar value at the discretion of the Bibbulmun Track Foundation. 

4. Editing of Images

I understand that submitted photographs may be cropped, resized, adjusted for layout purposes, captioned, or otherwise edited to suit the calendar format or promotional requirements. I understand that I may not be consulted on standard design edits such as these.  

5. Photographer Credit

The Bibbulmun Track Foundation will endeavour to provide appropriate photographer credit whenever practical. However, there may be circumstances where attribution is not possible. 

6. People Featured in Images

Where identifiable people appear in a photograph, I confirm that I have obtained any necessary permission for the image to be submitted and used by the Bibbulmun Track Foundation. 

7. Selection Process

Submission of a photograph does not guarantee inclusion in the calendar. Image selection will be at the sole discretion of the Bibbulmun Track Foundation. 

Image Submission Requirements 

File Information 

Please provide the following information with each image, in the caption as detailed below: 

• Photographer 

• Location 

• Subject 

• Date taken (month and year, if known) 

File Format and Quality 

• Images must be submitted as JPG (.jpg) files. 

• Images must be uploaded in low-resolution to help minimise data storage requirements. If your image is selected for inclusion in the calendar, you must be able to provide a high-resolution version suitable for professional print production. For best results, these must be at least 2000 pixels on the longest edge. 

• Mobile phone images may be considered, provided they meet the required quality standards for print. 

Number of Entries 

• A maximum of 10 images per photographer may be submitted. 

Submitting Your Images 

Images can be submitted after completing the form at: Photo Submission Form 

You must ensure all files are clearly labelled with: 

Photographer Name – Location – Subject – Date Photo Was Taken (YYYYMM) 

Example: Jane Smith– Mt Cooke – Spring wildflowers – 202609.jpg 

Images that do not conform to this file format will not be considered for inclusion in the calendar.
